Welcome to Rosa Mystica Tours (“we,” “our,” or “us”). By using our website and booking pilgrimages through our services, you agree to the following terms and conditions. Please read them carefully before proceeding.

GHIC: GLOBAL HEALTH INSURANCE CARD
A UK GHIC is free and lasts for up to 5 years. Apply for your card through the NHS website. It should arrive within 1-2 weeks of applying. https://overseas-healthcare.nhsbsa.nhs.uk/get-healthcare-cover-travelling-abroad/start the GHIC will provide only limited access to healthcare whilst you are outside the UK which also varies from country to country.
They also provide no cover in the event that you require medical repatriation to the UK. The GHIC does not offer comparable protection to travel insurance and are not a substitute for travel insurance.
In signing the booking form and paying your deposit committing your interest in participating in the desired pilgrimage, you acknowledge that you have read, understood and agree to the following booking conditions.
In these booking conditions, “you” and “your” means all persons/travellers named on thebooking (including anyone who is added or substituted at a later date) or any of them, as the context requires. “We”, “us” and “our” means Rosa Mystica Tours. References to “departure” are to the start date of the arrangements we have contracted to provide. “Without limitation” – means all responsibility exceeding notifying Rosa Mystica Tours/the supplier is on the traveller to make sure all their requirements are met. “A binding contract between YOU and US comes into existence when we issue our confirmation number and invoice to YOU once money has been exchanged for booking the services of Rosa Mystica Tours.”
We both agree that English law (and no other) will apply to your contract and to any dispute, claim or other matter of any description which arises between us (“claim”) except as set out below. We, Rosa Mystica Tours, will deal with matters in accordance with The Package Travel and Linked Travel Arrangements Regulations 2018.
1. Payments
The completed booking form must be sent to Rosa Mystica Tours along with a non-refundable deposit of £250.00 per person for coach pilgrimages and 50% of the quoted tour price for packages travelling by air/train. In the event of cancellation of the tour by the passenger for any reason whatsoever or failure to pay the entire cost, the said deposit shall stand forfeited as admin fee for the cancellation. On payment of the deposit amount, you will receive an official invoice/receipt from Rosa Mystica Tours for the amount you have paid and a payment plan will be devised for you and Without limitation YOU MUST adhere to it – it will take into consideration the most efficient way to clear your outstanding balance(s), ideally AT LEAST SIX WEEKS PRIOR to your departure. If you do not pay the balance(s) in full and on time, without a valid written notification as to why you have been unable to pay, we reserve the right to CHARGE INTEREST on top of your current balance if you do not adhere to the payment plan.
2. Changes by YOU & Refunds
If, after your booking confirmation has been issued, you wish to change/postpone/cancel your pilgrimage booking, we will do our best to help accommodate provided that written notification via email or post is received by Rosa Mystica Tours’ Managing Director from the person who signed the booking form. This must be accompanied by a payment of £50 per traveller affected by the alteration or cancellation to cover administration costs. You must acknowledge that the amount of help we can provide for alternative arrangements is dependent on the notice period prior to the start of booked pilgrimage. IF more than 30 days before start of booked pilgrimage – partial refund may be retrieved from suppliers and put towards an alternative arrangement, IF less than 30 days before start of booked pilgrimage – no alternative arrangements can be made and no refund of any monies paid towards tour
In the event that after your booking confirmation has been issued, you wish to CANCEL your pilgrimage booking, a partial refund of the amount you paid towards your booking may be possible however this is dependent on the notice period prior to the start of booked pilgrimage. We emphasise that the deposit you pay is non-refundable and therefore will be deducted from the total amount WE are able to refund you, as it is forfeited as the admin fee for your cancellation. IF you notify us MORE THAN 30 days before start of booked pilgrimage – a partial refund of amount paid towards tour. IF you notify us LESS THAN 30 days before start of booked pilgrimage – NO REFUND of any monies paid towards tour will be possible.
YOU acknowledge that the refund amount WE are able to refund to YOU will depend on the discretion of our supplier(s) who must adhere to their own terms and conditions in addition to the discretion of Rosa Mystica Tours’ Managing Director. WE will always try our best to retrieve as much as possible to be able to refund back to you. WE do emphasise that any refunds will not be paid to you until they have been received by us from the relevant supplier(s) and this may take up to 4–6 weeks.
3. Pilgrimage Prices
We will always try our best to negotiate the best possible package with our suppliers and pilgrimage prices will include all transportation including air/coach/train travel and transfers, accommodation and meals depending on whether B&B/Half-board/Full-board as specified in the pilgrimage proposal/itinerary.
Unless indicated in the pilgrimage proposal/itinerary, entrance fees, guide fees, city sightseeing tours and option excursions are not included in the initial pilgrimage quotation.
We do reserve the right to increase or decrease tour prices of any item if and when required by the supplier demands – in the event the price increases after booking it will be passed on by way of a “surcharge” added onto your final tour price and must be cleared at least 14 days before your departure – we guarantee that any increase will be limited to a maximum of 15% of the total pilgrimage prices.
4. Air Prices
The prices quoted for air pilgrimages are based on costs known at the time of proposal. If there are any increases in these which are beyond our control, they will be included in the final invoice. As mentioned above, we guarantee that any increase will be limited to a maximum of 15% of the total pilgrimage prices.
Notice period prior to departure:
More than 42 days – Credit note to the value of the amount paid towards the tour, 29 – 41 days – Credit Note to the value of the deposit paid ONLY, Less than 28 days – No credit note or refund of any monies paid towards tour
If, after your confirmation has been issued you wish to change your pilgrimage booking, we will do our best to help, provided written notification is received at our office from the person who signed the booking form, no later than the date on which the balance of the original pilgrimage cost due for payment. This must be accompanied by a payment of £50 per person to cover administration costs. Any alteration request after this date will be treated as cancellation of the original booking and cancellation charges set out above will be applied.
Changes or Cancellation by Us :
Pilgrimages can only be supplied at the advertised price, provided that a satisfactory number of bookings are made. If we are unable to provide the booked arrangements, you can accept an offer of alternative arrangements of comparable standard from us, if available. We will not refund any travel arrangements or hotels which have not been booked by Rosa Mystica Tours. We cannot accept liability or pay compensation if we are forced to cancel or in any way make changes to your pilgrimage due to war, riot, civil strike, industrial dispute, terrorist activity, natural or nuclear-disaster, fire or adverse weather condition, or any other reason outside our control amounting to force majeure. It is unlikely that we will have to make any changes to your pilgrimage/itinerary. If there are any changes or amendments to your pilgrimage/itinerary, we will try to advise you of these amendments prior to the start of the tour or on route. Sometimes changes have to be made which we reserve the right to do at any time.
5. Travel Documents
Without limitation, it is your responsibility as the traveller to be in possession of a valid passport/document, visas/visa waivers including the new ETIAS that may be required for travel to the European Union, evidence of any health-related requirement and currency are in order, meet all applicable requirements and are valid for travel. It is your responsibility to timely provide copy of travel documents when requested by Rosa Mystica Tours staff, as to not delay your booking process or reserving your place on any aspect of the pilgrimage as details will be required by our suppliers by met deadlines. You must make us aware of any errors found in any documents provided to you by Rosa Mystica Tours – if you fail to notify us within 3 working days of receiving the document, and the error is caused by incorrect information you have provided to us, then you must pay the amendment fee of £50 or the amount set by the relevant supplier to make the amendment(s).
Any copies of documents/information sent to Rosa Mystica Tours will be kept then deleted/destroyed from our system 30 days after your return from your pilgrimage.
6. Passport & Visas
Please be aware of the entry requirements (e.g. passport validity & visas) for your specific destination/country as they can differ for each country, they can be found on this website https://www.gov.uk/foreign-travel-advice We will accept no responsibility and are not liable for any form of compensation if any passenger is refused entry by the immigration authorities of any country for whatever reason. If you attempt to travel without fully complying with all requirements, you are likely to be refused boarding on your flight or other transport or entry into your destination country. We cannot accept any liability and cancellation charges will apply (as set out in Changes by YOU and Refunds above) if you are refused entry onto any transport or into any country, or decide not to travel, due to failure (or inability) on your part to obtain and carry all required documentation or to otherwise comply with all applicable requirements (including health/covid-19 related ones).
7. Medical
We also wish to point out that, as we do not have medically trained staff on our tours, our arrangements may be unsuitable for severely disabled, ill or elderly people. It is a condition of acceptance that the applicant (or any member of the party) shall have made full disclosure of the facts with particular reference to adverse health. We may also require you to produce your doctor’s recommendation prior to your travel. It is your responsibility to inform us if you have any special requirements – dietary, physical assistance etc. so that we can inform the suppliers in advance prior to your arrival. If you do not advise us of any medical condition, disability, significant reduction in mobility or significant allergy prior to us confirming your booking and we cannot fulfil your booking cancellation charges will apply. We will advise our suppliers of any allergy information you provide us with. However, you must take appropriate precautions to protect yourself whilst on pilgrimage. Without limitation, it is your responsibility to ensure that any food you are intending to consume does not include anything to which you are allergic at the time you order or purchase this.
8. Flight Cancellation
In the event of a flight being cancelled, we will do our utmost to work with the supplier to transfer you on to the next available flight. Any costs incurred for overnight accommodation or additional travelling expenses will have to be paid by the client then claimed from your travel insurance company. Any change to the operating carrier(s) after your booking has been confirmed will be notified to you as soon as possible.
9. Late Arrival
For coach pilgrimages, passengers must ensure that they arrive at pick up point at least 1 hour prior to departure time to get registered before boarding and departure and 3 hours prior to your flight departure for air pilgrimages. If delayed and missed the coach or flight, no compensation will be given.
10. Inappropriate Behaviour & Rights of Refusal
You must show RESPECT to Rosa Mystica Tours staff and fellow travellers. If the behaviour of any member of any party is considered likely to cause offence, danger, damage or distress to others travellers or the staff, we reserve the right at all times to cancel or terminate their pilgrimage completely. If this situation arises, our responsibility will cease and the company will be under no obligation to cover expenses incurred and neither will we consider nor accept any claims for compensation or refund whatsoever.
11. Liability
We do our utmost to ensure that your pilgrimage arrangements are satisfactory. We do not, however, accept any liability for loss or damage caused by force majeure, injury, illness, industrial action, acts of terrorism or any other disruptions caused by third party contractors. Rosa Mystica Tours’ liability arising out of your pilgrimage or tour arrangements is limited to the actual amount you have paid for the tour.
12. Complaints Procedure
If you, or any member of your party have any cause for dissatisfaction you must immediately inform the company in writing. You can find our contact information under the “Contact Us” page.
13. Travel Insurance
It is highly recommended that all passengers travel with a valid travel insurance policy. We do not organise travel insurance as part of the service therefore it is your responsibility to obtain appropriate coverage. You will have to provide proof of your purchased travel insurance policy when requested.
14. Governing Law
These Booking Conditions are governed by the laws of the United Kingdom. Any disputes shall be resolved in the appropriate legal jurisdiction.
By booking a pilgrimage with Rosa Mystica Tours, you acknowledge that you have read, understood, and agreed to these Terms of Service.
